As with other W-8 forms, Form W-8EXP must be sent to the payer or withholding agent before income is paid to you. However, the form allows the foreign business to claim a reduction in taxes if its country of residence has a tax treaty with the United States. These forms are requested by the payers or withholding agents and kept on file with them—not filed with the IRS.

- If any item shows a change in the dollar amount and one of the amounts is zero, enter “-0-.” Do not leave the box blank.
- You file Form W-7 with your tax return for that year.
- Form W-7 can be submitted for a dependent claimed for the ODC even if the tax return has no tax to be reduced by the ODC and Schedule 8812 is not included.
- Form W-7 can be submitted for a dependent claimed for the child and dependent care credit or credit for other dependents even if the return has no tax to be reduced by those credits.

However, businesses, like individuals, may also qualify for a reduced tax rate.
Changes to W-9 Form for the 2025 Tax Season
- In addition, you may provide the FTIN issued to you by your jurisdiction of tax residence on line 6a for purposes of claiming treaty benefits (rather than providing a U.S. TIN on line 5, if required).
- Enter all 4 digits of the year of the form you are correcting and the type of form you are correcting.
- Complete all fields as appropriate and enter the eight-digit office code that was issued to you by the ITIN Program Office.

If more than four items need to be reported in box 12, use a separate Form W-2 to report the additional items (but enter no more than four items on each Copy A (Form W-2)). For example, if you are only required to report code D in box 12, you can enter code D irs form w and the amount in box 12a of Form W-2. Generally, for purposes of sections 1446(a) and (f), the same beneficial owner rules apply, except that under section 1446(a) and (f) a foreign simple trust is required to provide a Form W-8 on its own behalf rather than on behalf of the beneficiary of such trust. The beneficial owners of income paid to a foreign complex trust (that is, a foreign trust that is not a foreign simple trust or foreign grantor trust) is the trust itself. The beneficial owners of a foreign grantor trust (that is, a foreign trust to the extent that all or a portion of the income of the trust is treated as owned by the grantor or another person under sections 671 through 679) are the persons treated as the owners of the trust.
To apply for an SSN, get Form SS-5 from a Social Security Administration (SSA) office or online at /forms/ss-5.pdf. If you have a social security number (SSN), enter it here. Your permanent residence address is the address in the country where you claim to be a resident for purposes of that country’s income tax. If you are a dual citizen, enter the country where you are both a citizen and a resident at the time you complete this form.
Your income must be below the qualifying threshold determined by the IRS based on your filing status. Multiply each other dependent by $500, enter the total, then add the two totals together. Step 3 of Form W-4 instructs you to multiply each qualifying child who is younger than age 17 by $2,000 and enter the total. Their gross income must be below the threshold specified by the IRS, and you must provide more than half of their financial support. There’s a box you can check as your third option, indicating that you and your spouse, if applicable, have only two jobs total. Your second option is to use the Multiple Jobs Worksheet provided on page 3 of the W-4 form, along with detailed instructions.
But see Extension of time to furnish Forms W-2 to employees. You may request only one extension of time to file Form W-2 with the SSA by submitting a complete application on Form 8809, Application for Extension of Time To File Information Returns. Anyone required to file Form W-2 must file Form W-3 to transmit Copy A of Forms W-2. If you are required to e-file Forms W-2 or want to take advantage of the benefits of e-filing, see E-filing .
Check this box when an error is made on Form W-2 and you are voiding it because you are going to complete a new Form W-2. For each Form W-2 showing an amount in box 3 or 7, make certain that box 5 equals or exceeds the sum of boxes 3 and 7. Virgin Islands tax data to the SSA on more than one Copy A. For more information, see E-filing , earlier. If necessary, you can issue more than one Form W-2 to an employee. For example, if the employee worked from December 14, 2025, through December 27, 2025, and the wages for that period were paid on January 2, 2026, include those wages on the 2026 Form W-2.
Request for Taxpayer Identification Number and Certification
Check this box for statutory employees whose earnings are subject to social security and Medicare taxes but not subject to federal income tax withholding. Railroad employers must file Form W-2 to report their employees’ wages and income tax withholding in boxes 1 and 2. Differential wage payments made to an individual while on active duty for 30 days or less are subject to income tax withholding, social security, Medicare, and unemployment taxes and are reported in boxes 1, 3, and 5. Designated Roth contributions are subject to federal income tax withholding and social security and Medicare taxes (and railroad retirement taxes, if applicable) and must be reported in boxes 1, 3, and 5. Federal employers reporting income taxes paid to the CNMI under the 5517 agreement, enter the total of CNMI wages on the Forms W-2 in box 16.
Exception 4. Dispositions by a foreign person of U.S. real property interest—third-party withholding.
For details on statutory employees and common-law employees, see section 1 in Pub. There are workers who are independent contractors under the common-law rules but are treated by statute as employees. See Medicaid waiver payments for more information. If the employee later provides proof of MEC establishing eligibility for a lesser value permitted benefit, report this lesser value permitted benefit on Form W-2. Report the amount of payments and reimbursements the employee is entitled to receive under the QSEHRA for the calendar year, not the amount the employee actually receives.
Form W-8BEN – Notices
I would sit through them waiting to see which prompt I would need, waiting for the last one hoping the next prompt is mine…. When you first call the IRS, you will be greeted by a recording. This is the first Procedure to communicate with a human being at the IRS.
For example, if you apply for and receive an ITIN this year, you may not e-file any tax return using that ITIN (including prior-year returns) until next year. If you’re unable to file your tax return by the due date, you must file an application for an extension of time to file by the due date of the return. If you’re applying for a new ITIN, complete and attach Form W-7 to the front of your tax return and file your application package with your tax return for which the ITIN is needed on or before the due date for the return. If your ITIN won’t be included on a U.S. federal tax return, you don’t need to renew your ITIN at this time.
Proof of U.S. residency for applicants who are dependents.

Use BSO’s online fill-in forms to create, save, and submit Forms W-2 and W-2c to the SSA electronically. Additional levels of security are now required to access BSO employer services.
If the H-2A visa agricultural worker furnishes a valid taxpayer identification number, report these payments in box 1 of Form W-2. This rule applies only to income tax reporting. See the instructions for boxes 15, 16, and 17 under Boxes 15 through 20—State and local income tax information , later. Federal employers are also required to file quarterly and annual reports with the CNMI Division of Revenue and Taxation.
Show the total wages paid (before payroll deductions) subject to employee social security tax but not including social security tips and allocated tips. Enter the name as shown on your employee’s social security card (first name, middle initial, last name). This should be the same number that you used on your federal employment tax returns (Forms 941, 943, 944, CT-1, or Schedule H (Form 1040)).
About Form W-2, Wage and Tax Statement
If the IRS believes that an employee’s withholding is too low, it may send a lock-in letter requiring you to withhold tax at a specific rate. The W-4 and the W-2 are both IRS tax forms, but they serve different roles in the payroll and tax filing process. If you’re a student or only working part-time, you might not earn enough to owe federal income tax.
Acceptance Agent (AA).
In the case of such clients, PFFIs must withhold 30% on all U.S. withholdable payments as defined by the IRS FATCA regulations. A recalcitrant account holder is an account holder that is not an FFI and that fails to comply with documentation or information requests from an FFI in which it holds an account. A participating foreign financial institution (PFFI) should request Form W-9 from an account holder that is a U.S. person. (See Purpose of Form on Form W-9.) Withholding agents, defined later, may require signed Forms W-9 from U.S. exempt recipients to overcome a presumption of foreign status. Use Form W-9 to request the taxpayer identification number (TIN) of a U.S. person (including a resident alien) and to request certain certifications and claims for exemption.
